  1. Scheduling view 🗓️

We’ve updated Involve to bring the agenda, school calendar and scheduling views together into a single, consolidated area. You can now move between different bookmarked views of your events, and even create your own custom views.

For music lessons and magic scheduling, make sure you’re in the Scheduling tab. From there, you’ll find the option to draft events in the drop-down menu next to Add event.

  2. Pod rollover 📋

You can bulk roll over pods to a new term directly from the pods table, which is especially useful for moving clubs, teams, or ensembles across to a new term.

To do this, filter the pods you’d like to roll over, select them, and under 'Action' select 'Rollover pods'. You’ll be able to select which term you want to add them to and decide whether to remove all students to start sign-ups again, or keep the existing enrolments in place.

  3. Trips 🚌

    New Feature

We’ve just launched a more comprehensive trip approval process in Involve, giving you greater control and flexibility when managing trips.

You can now configure your approval settings under Schools > Settings > Trips, with support for both opt-in and opt-out trips — each with its own customisable workflow. Set approval steps, assign approvers, and define which types of trips require consent. Once configured, the full approval flow is shown directly on the trip event for full visibility.

You can also assign approvers based on trip type — for example, only requiring approval for overnight, adventurous, or overseas trips. Trip type is now selected when creating a new trip, allowing for more tailored workflows.

🛠 If you have any upcoming trips already in the system, we’ve done our best to place them at the right stage in the new workflow. If anything looks off or needs updating, just let us know and we’ll be happy to help.

  4. ✅ Teacher Availability Check

When adding events to the calendar, you can now use the “Check Availability” button to instantly see which teachers are free — and when.

This helps you schedule events at the best possible time and avoid conflicts before anything is confirmed.

  5. Digest Emails 📧

    New Feature

To help reduce email notifications for students, we’ve introduced Digest Emails — a weekly summary of upcoming lessons.

You can enable this feature via School Settings > General.

    • A weekly email is sent every Friday, summarising all lessons scheduled for the following week. You can customise the time you would like it to be sent.
    • Any updates, edits, or new lessons made before Friday are included in the digest — meaning no additional emails are triggered.
    • Changes made after Friday (e.g. last-minute weekend edits or newly published lessons) will still send out notifications as usual.

  6. 📣 Attendance notifications

    New Feature

You can now assign attendance officers in Involve who will be automatically notified when a pupil is marked absent from all non-classroom lessons (e.g. music, clubs, activities) taking place at the same time. These staff will receive notifications via email, push notification, and desktop alert.

Involve also now monitors for consecutive absences in co-curricular lessons. If a pupil is marked absent for two lessons in a row within the same grouping, attendance officers will be notified again.

You also have the option to include the pupil’s form tutor, head of house, or head of year in these notifications, to help ensure the right people are kept in the loop.

This can be toggled in your school settings under the ‘Contacts’ section.

  7. Draft whole term

    New Feature

You can now schedule entire terms at once in Involve, or just your current week.

Click "Draft whole term" from the calendar drop down at the top right. From there you can choose to draft either the current week or any of your future terms.

    • Select which schools you would like to schedules lessons for.
    • Admins can draft timetables for either the selected teacher or all teachers at once.
    • You can select if you want to schedule lessons across multiple departments.
    • You can choose to clear any existing drafts for the selected weeks or schedule on top of existing drafts without removing them.

We’ve also improved visibility on loading times on you click 'Run magic scheduling', so you’ll have a clearer idea of progress while your weeks are being scheduled.

This update makes scheduling faster and more efficient—let us know if you have any questions!

  9. Scheduling Mode 🎯

    New Feature

Due to popular demand, we’ve introduced Scheduling Mode, a new feature that highlights with a yellow icon when students last missed the curricular lesson they are scheduled over.

This tool helps you identify students at risk of missing the same lesson multiple times. While our algorithm optimises scheduling, there may be cases where it can’t find a perfect slot. Scheduling Mode makes it easy to spot potential conflicts and adjust lessons as needed.

You can toggle this feature on or off from the top-right of your calendar, but it should be automatically enabled when viewing the calendar.
